Terms of Service

Effective September 22, 2026
These terms cover the use of SeamLedger for business expense and receipt management.

1. Operator and agreement

These terms are between SeamLedger LLC (“SeamLedger,” “we,” or “us”), based in Virginia, United States, and the person or business using the service. Our contact email is legal@seamledger.com.
You must be an adult able to enter into an agreement and authorized to act for any business you represent. If you create or manage a company workspace for a business, you are responsible for having that business’s permission.

2. What the service provides

SeamLedger helps you collect receipts, enter expenses, upload card-statement files, reconcile transactions, and prepare reports and files for supported accounting software. It does not connect your bank accounts, transfer money, file taxes, or independently post entries to your accounting software.
Features, supported formats, and third-party import requirements can change. Check the instructions for your product and version and verify imported results.

3. Accounts and company administrators

Keep account information accurate and credentials secure. Use individual accounts rather than sharing passwords. Notify us if you suspect unauthorized access.
Company administrators are responsible for invitations, permissions, saved accounting settings, and the business records they approve or export. Membership changes can affect a person’s access to company records. You must have permission to upload information about coworkers, vendors, or other people.

4. Your information and permission to process it

You retain your rights in the records and files you provide. You authorize SeamLedger and its service providers to host, process, transmit, and display that information as needed to provide the features you use, protect the service, and meet legal obligations.
This includes Claude processing for automatic statement mapping and forwarded-receipt extraction as described in the Privacy Policy. It does not transfer ownership of your business records to SeamLedger.

5. Review and bookkeeping responsibilities

You are responsible for checking source files, receipts, account names and numbers, dates, signs, refunds, splits, matches, dimensions, report approvals, and export settings. AI and automatic matches are assistance, not an assurance of correctness.
Review files before importing them, check the accounting software after import, and avoid importing the same expenses twice. Keep the records and backups your business needs. SeamLedger does not replace your accountant, tax adviser, auditor, or legal adviser.

6. Acceptable use

Use the service lawfully and only with information you are authorized to process. Do not upload malicious content, infringe others’ rights, misrepresent expenses or identities, attempt to access another company’s information, bypass security or usage controls, or disrupt the service.
Do not submit bank passwords, card security codes, or unnecessary highly sensitive information. Contact us before using the service for information subject to specialized requirements that have not been agreed with us.

7. Trials and paid services

Any trial or paid offer will state its price, billing frequency, included access, and cancellation terms before purchase. These terms alone do not authorize a charge. Do not treat prices displayed in unfinished setup or historical documentation as a purchase confirmation.
Deleting a user account and cancelling a paid company subscription are different actions. If a paid subscription applies, follow its stated cancellation process or contact us. Any mandatory refund or cancellation rights under applicable law remain unaffected.

8. Availability and third parties

The service depends on internet access and third-party hosting, authentication, email, AI, and accounting products. Interruptions and errors can occur. We do not guarantee uninterrupted access, error-free suggestions, acceptance of every import file, or any particular accounting or tax result.
Third-party products have their own terms and requirements. Product names identify compatibility or instructions and do not imply endorsement or affiliation.

9. Ending access and records

You may stop using SeamLedger and request account deletion. We may restrict access when reasonably necessary to address unlawful use, security threats, or a material breach of these terms. Where practical and appropriate, we will provide notice and an opportunity to address the issue.
Company records may remain after a member’s login is deleted. Download needed records before requesting deletion. Continued retention, legal holds, backups, and removal requests are explained in the retention page.

10. Service limitations and legal rights

To the extent permitted by applicable law, the service is provided as available, without a promise that it will meet every business requirement. Nothing in these terms excludes a right, remedy, duty, or liability that cannot lawfully be excluded.
These terms do not require arbitration or waive a right to bring a claim that applicable law provides. Mandatory protections under applicable Canadian federal or provincial law are not displaced by the operator’s location in Virginia. Contact us to discuss a concern so we can try to resolve it.

11. Changes and contact

We may update these terms and will publish the effective date here. Material changes will be communicated as required by law. For questions or notices, contact legal@seamledger.com.
