Privacy Policy

Effective September 22, 2026
This policy explains how information is handled when you use SeamLedger’s expense, receipt, statement, and export tools.

1. Who is responsible

SeamLedger LLC, based in Virginia, United States, operates SeamLedger (“we,” “us,” or “our”). Contact us at legal@seamledger.com.
Your business or employer decides which business records to place in its company workspace and who can use that workspace. We provide the service for that company. For questions about your employer’s use of your records, contact its administrator as well as us.

2. Information you and your company provide

Account information includes names, email addresses, company names, membership roles, invitations, and sign-in information. Business information includes expense amounts and dates, merchant and account names, descriptions, custom fields, receipt images/PDFs, statement files and transaction rows, saved card formats, report participants, approvals, and exported accounting files.
Documents can contain personal information about employees, vendors, or other people. Only provide information you are authorized to share and that is needed for bookkeeping. SeamLedger does not require bank-login credentials, card security codes, or full payment-card numbers. Remove unnecessary sensitive details before uploading or forwarding a document.
Support requests can include your contact information, descriptions of a problem, and any screenshots or files you choose to supply.

3. Technical information and device permissions

Our hosting, authentication, database, and email providers process information needed to deliver and protect the service, such as IP addresses, browser/device information, request times, sign-in events, and delivery or error logs.
The app uses browser or device storage for sign-in sessions and preferences. Blocking or clearing this storage may sign you out or reset local preferences. Camera, photo-library, and file access are used when you choose to capture or attach a receipt or upload a file. You can manage permissions through your device or browser.
The current app does not include advertising pixels or cross-site advertising trackers. It does not change its behavior in response to a browser’s Do Not Track signal. Essential service and security processing continues when that signal is enabled.

4. How information is used

We process information to provide accounts and company workspaces; capture and organize expenses and receipts; suggest statement mappings; reconcile transactions; create reports and exports; deliver account, invitation, and report messages; respond to support requests; prevent misuse; and investigate errors or security incidents.
SeamLedger does not connect to bank accounts or automatically synchronize your cards. You supply statement files. Generating an accounting export does not transmit it to your accounting software; you decide when and where to import the downloaded file.

5. AI-assisted processing

SeamLedger uses Anthropic’s Claude API for certain features. Automatic statement mapping sends a structured sample that can include the file name, sheet names, column headers, sample transaction values, and summary information. Those samples can contain amounts, merchants, names, and other details in the supplied file.
When you forward receipts to the receipt-email feature, the selected receipt image, PDF, or message text is processed through Claude to extract expense details. Ordinary manual expense entry and choosing a previously saved statement mapping do not themselves require a new Claude request.
AI output can be wrong. Review the proposed mapping, extracted receipt details, and amounts before relying on them. Anthropic’s commercial API documentation states that inputs and outputs are not used for model training by default and describes standard retention and exceptions. Provider processing is not a promise of immediate deletion or zero retention.

6. Who can receive information

Authorized company administrators can access company-wide records, manage membership, and handle reports and exports. Members have more limited access. Authorized platform personnel may access information when needed to operate, support, or protect the service.
We use Supabase for authentication, database, and file storage; Vercel for web hosting; Anthropic for the AI features described above; and Resend for configured email delivery and receipt-email processing. Each provider receives information relevant to its service. Provider policies describe their own practices.
Information may also be disclosed when required by law, to respond to valid legal process, or as reasonably necessary to protect legal rights and prevent misuse. A change of ownership or service provider does not eliminate the protections and applicable legal obligations for previously collected information.

7. Payment information

SeamLedger does not request payment-card details through receipt-entry or statement-mapping forms. If a paid subscription is offered, the checkout will identify the payment processor and price before you authorize payment. Subscription billing is separate from the card statements you upload for bookkeeping.

8. Retention and deletion

Company accounting information is retained to provide the workspace and its historical reports and exports. Retention also depends on company instructions, support and security needs, applicable legal obligations, and provider backup/log practices. There is currently no automatic rule that erases every record after a fixed number of days.
Deleting your login can leave business records and participant names with the company. The deletion screen explains the effect on your workspace before confirmation. Uploaded files, provider logs, backups, and copies downloaded or emailed outside SeamLedger require separate consideration; deleting an account is not a promise that every copy is immediately erased.

9. Your choices and requests

You can review or correct available profile information in Settings and use the in-app account-deletion process. You can also contact legal@seamledger.com to request access, correction, an export, or deletion of personal information, or to ask a privacy question. Tell us your account email, company name, and what you are requesting.
We may need to verify your identity and authority and coordinate with the company that controls the workspace. Applicable law may provide additional rights, including an appeal or complaint to a regulator. Requests are handled subject to those laws and any permitted exceptions, such as preserving required business or security records. We do not require you to send your password to verify a request.

10. Canadian privacy requests

Canadian users may request access to personal information and ask for corrections, subject to applicable federal or provincial law. Where processing relies on consent, you may ask to withdraw it, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent for necessary processing can limit our ability to provide a feature or account.
Direct questions, complaints, or consent-withdrawal requests to legal@seamledger.com. We may need to coordinate with the company responsible for the workspace. You may also contact the Office of the Privacy Commissioner of Canada or the relevant provincial privacy authority. We will explain applicable exceptions or any further information needed to handle a request.
Information processed outside Canada may be subject to the laws of the country where it is processed, including lawful access by courts, law enforcement, or other authorities. Contact us for questions about those service providers and safeguards.

11. Security and processing locations

SeamLedger uses authenticated access, company-based permissions, and private receipt access. No online service can guarantee absolute security. Protect your credentials, choose appropriate team permissions, and contact us if you suspect unauthorized access.
Service providers may process information in the United States and other countries where they operate. This policy does not promise that all data stays in one country or that information never reaches a service provider.

12. Intended users

SeamLedger is a business bookkeeping tool intended for adults and is not directed to children under 13. Do not create an account for a child. Contact us if you believe a child has provided personal information through the service.

13. Updates to this policy

The effective date appears at the top of this page. Updates will be published here. Material changes will be communicated as required by applicable law; any additional consent required by law will be requested separately.
